Time Tracking System

Reconstructing accurate work time from browser activity using a structured system

This project focused on creating a reliable way to reconstruct work time when traditional time tracking methods were inconsistent or missing. The goal was to design a system that could translate raw browser activity into structured, usable time records.

1

Capture Activity

  • Used browser history as the primary source of activity data
  • Identified patterns across tools, platforms, and client work
  • Established a consistent method for extracting usable data
2

Structure the Data

  • Designed a Google Sheets system to organize raw activity into working sessions
  • Defined rules for grouping activity into time blocks
  • Introduced logic to handle gaps, overlaps, and edge cases
3

Reconstruct Time

  • Translated structured activity into accurate work sessions
  • Built a repeatable workflow for daily and retrospective time tracking
  • Reduced reliance on memory or manual time entry

Challenge

Traditional time tracking methods assume consistent habits, which does not reflect how work actually happens. Work was spread across multiple tools and sessions, and gaps in tracking made it hard to reconstruct time reliably after the fact.

Insight

The problem was not the lack of data, it was that the data was unstructured. Browser history already contained a detailed record of activity, but without a system to interpret it, that data could not be used effectively.

Solution

Instead of relying on manual tracking, a system was designed to convert raw browser activity into structured time records.

  • Used browser history as a reliable source of truth
  • Built a spreadsheet-based workflow to organize and interpret activity
  • Defined rules for identifying working sessions and handling gaps
  • Created a repeatable process for reconstructing time when manual tracking is incomplete

Result

With the system in place, time tracking became more accurate and less dependent on memory:

  • Work sessions can be reconstructed even when tracking is missed
  • Time data is more consistent and easier to review
  • The process reduces manual effort while improving accuracy
  • The system can adapt to different types of work and tools

Most importantly, time tracking is no longer dependent on perfect habits to be reliable.
